February 2019 Meeting

Meeting began at 6:42pm
Shaudrika from Men’s Warehouse discussed their offer for donating tuxedos for the fashion show and renting for prom.  They will donate 8-10 suits for the fashion show, students will need to go for a scheduled fitting first.  For prom rentals cost $99-$259, pick up is Wednesday before prom and due back the day after prom.  $20 late fee applied.  Prom package available for $199 and include, suit, shirt and tie.  Available colors are light gray, charcoal gray, black, and navy blue.  Students can make an appointment or walk-in for a fitting.
 
Fashion Show – Models will be selected from top 20 girls and top 10 boys with points.  Students need to commit to 2 rehearsals plus the fashion show.  Peggy asked the students to be respectful of Men’s Warehouse and committee’s time and show up on time and commit.
Mandi discussed that the music will be from the 60’s to now, representing Dulles’s 60 year anniversary.  Dresses will be donated and sold at affordable prices to students at the fashion show.  Austin Epps asked about the ratio and if it would be 1 guy to 2 girls.  Response was that there were less types of tuxedos to show than dresses.
Mr. Blake Minor committed a team from the theater department to help with the fashion show.  He suggested that the draping for the show (runway, changing area) be black as it was best for lighting.  Students can submit songs and he will create a mix ensuring appropriateness of language and selection of part of song used.  He asked what type of lighting we would like to have and committee would like to understand the different options. Agreement for no strobe lights.
 
Dinner/Auction – headcount of seats sold currently at 92.  First headcount to be given 2/11; 100 will be provided.  Committee completed their walk thru and discussed placement of auction tables.  Cash/Credit bar available, drink prices $2.50-$7.50.  Signup Genius will go out for volunteers to help the night of the dinner; Arlana will send Ericka final schedule to use in creating slots. Rough timeline was discussed: 
Appetizers 6-7pm
Wine Pull 6-8pm
Open bar from 6-9:30pm
Introduction, Presentation of Colors and National Anthem at 6:15
Silent auction 6:00pm and close at 8:30
Buffet 7-8:30pm
Live auction 8:30pm
Cake Cutting 8:30pm, students will pass out cake during live auction.
 
Bid numbers will not be used for the auctions, guests will write down names.
Committee discussed how we will close out the silent auction.  There will be a poster board with the winners so people know to stay or not.  Receipts will be on the clipboards with the bid sheets.  There will be a master spreadsheet with item, prices, winner and place for a signature.  Bid sheets will be filed in alphabetical order for easy retrieving.  Items will stay on table and students/runners will retrieve as guests check out.
Peggy will get a cake from HEB (same price/size as Sam’s), it will have the Boots ‘N Bling logo and be half chocolate and half vanilla.  Angela said she will give Peggy a contact at HEB to get the cake donated.
 
Cover up Graphics has donated the printing. There was discussion about recognizing individual donors in the program and it was decided to recognize with a general statement “Thank  you to all of our donors for supporting ProGrad 2019”.
Everyone needs to update the Google Sheets with company donations.
 
Student Dues – 109 students have paid to date, collections are at $5,756.40.
Lastest Pizza sales netted $535.02 in profit.
Kendra Scott - $559.83
Park Lane Jewelry - $188.00
Mark Kay - $177.53
 
Next spirt night will be at Guru on Tuesday, 2/19.  Skylar will add it to the poster with the Fashion show.
FBISD has approved all fundraisers. Cain’s has been contacted for a Spirit Night in March and will donate 2 gift baskets.  Chipotle has been contacted, response pending. 
Next school pizza sale is February 27, Peggy will need additional help.
 
Finances – Conquista reported that last meeting we had $14,615, currently have $19,165.  Recent pizza sales netted $535.05.  109 students have currently paid dues, totaling $5,756.40.   Kendra Scott fundraiser raised $559.83, Park Lane Jewelry raised $188.00 and Mary Kay fundraiser raised $177.53.
 
Fashion Show – Requested date for March 28, 2019 has been approved.  The rehearsal date for March 26 was approved, however March 19 was declined.  Will request either March 20 or 21.
Students with top points will be selected as models and emails will go out on Feb 9. to students and their parents announcing their eligibility to be in the show and commitment requirements.  Responses required by Feb. 9.  Fitting with Men’s Warehouse can be on Saturday as soon as Feb. 16.
David Bridal fittings will be in March, possibly March 18 or 19.  Due to other fashion shows and proms David’s Bridal will not do fittings more than on week in advance.  They will provide coupons for $50 off any purchase to models along with a discount.  Amanda will ask if they will donate a part of the proceeds back to ProGrad.
Donated dresses will also be modeled and sold as a fundraiser the night of the fashion show.  Currently have 13 dresses donated.
